Working hours: Monday-Friday, 8:00am-5:00pm

Summary of the Position:
The UNIS Hanoi Service-Learning & CAS secretary is responsible for administrative assistance, logistical management, and secretarial support of the Service-Learning and CAS program. The Service-Learning Programme at UNIS Hanoi is central to our Mission and Guiding Principles and is firmly embedded in both Curricular (MYP & DP) and Co-Curricular learning. Students engage in a structured process of: investigation, planning, action, reflection and celebration. This takes place during subject classes, interdisciplinary units, grade-level trips, meetings, and Service-Learning lessons within the school day; as well at other times including after-school, weekends, and overnight events, visits, and trips. In Grades 11 and 12, Service-Learning forms part of their IBDP CAS (Creativity, Activity & Service) programme and is part of all students' high school experience. UNIS Service-Learning & CAS collaborates with over 30 partners within our wider community including non-profits, social enterprises, governmental agencies, experts, local schools, NGOs, and orphanages. Students/Student Groups engage with service-learning partners in connection to service, action, and global citizenship.
Responsibilities:
● Logistics management
• Prepare supplies/materials and make procurement orders for service-learning events, classes, and trips
• Schedule all Service-Learning/CAS events on school calendars
• Coordinate equipment, facilities, tech/operations requests, and referees for the successful running of events
• Make all event-related food/beverage arrangements
• Support the Service-Learning team in monitoring budgetary concerns
• Create and manage chat space/email lists and groups relevant to the service-learning programme
• Liaise with the Operations Department to arrange event set-up/take-down for all events
• Work with the Advancement Office to provide photos, articles and other correspondence
● Trips & Events:
• Register students and send communication to students and families
• Manage all transportation associated with trips through communication with Transportation Coordinator
• Communicate with teachers, students and parents/guardians regarding all trip information (field trip forms, email updates, etc.)
• Work with teams to evaluate trips on an annual basis
● LMS & SIS (Veracross/ Toddle)
• Liaise with Grade Level Teams to organise progress checks for CAS requirements and ensure students meet the graduation requirements.
• Monitor the CAS progress of students through Veracross/Toddle
• Provide Veracross/Toddle assistance to students and teachers
• Prepare class and event rosters on Veracross
● Record keeping
• Maintain records to help students to identify personal and ATL goals for CAS and Service-Learning
• Monitor the range and balance of CAS engagements undertaken by individual students
• Read and respond to CAS diaries/journals
● General Management
• Provide administrative assistance, logistical management, and secretarial support of the Service-Learning and CAS programme
• Maintain the UNIS communication hubs and website information associated with the activities of Service-Learning Office and the CAS programme
• Assist with the development of the Service-Learning Handbook
• Assist with the distribution, collection, maintenance, ordering and inventory of all equipment and materials for Service-Learning/CAS activities.
● Other responsibilities as delegated by Supervisor
Job requirements
Key Competencies:
i. Education
• Undergraduate degree in English, Communications or Social Work
ii. Experience
• 3+ years’ experience in a similar role, preferably in large organisation
iii. Technical knowledge
• Above-average proficiency in written and spoken English
• Customer service orientation
• Knowledge of community services
• Organization and time management skills
• General knowledge of economic, legal and political issues
• Proficiency in MS Office and database management programs, knowledge of web tools
