Executive Assistant to CEO
Job description
1/ Company:
- Involve in developing KPIs and performance evaluation to all departments, especially HR, Accounting, Sales and Import-and-export department.
- Analyze and synthesize all departments’ reports to present to BOD.
- Involve in problem-solving process to prevent the risk or to enhance the whole operational efficiency.
- Communicate directly and on behalf of CEO internally and externally.
- Support BOD to manage new or special project and new investment (if any)
- Perform other jobs as assigned by CEO.
2/ Import and Export:
- Find the new domestic and foreign suppliers for some special projects.
- Together with CEO and Import and Export’s Management team to manage the whole import and export activities.
- Review and analyze the entire cost and expenses regularly to ensure the accuracy and efficiency.
3/ Sales:
- Support CEO to manage the whole sales activities by reviewing the entire revenue, goals and strategies.
- Analyze new important customers including their potentiality, financial condition and so on to support the business expansion in an efficient and safe manner.
4/ Finance:
- Together with banking team to review the cashflow and entire financial status on a weekly and monthly basis.
- Review and evaluate the current banks to ensure we have the competitive cost, interest rate, exchange rate and so on.
5/ HR:
- Involve in the recruitment process for important positions including screening the CVs, selecting and interview the candidates with HR team before presenting to CEO.
- Discuss and negotiate with the candidates for the job assignment, salary package and so on.
- Manage the payroll and insurance with HR’s management team.
- Provide a bridge for an effective communication
6/ Administrative tasks:
- Manage appointments.
- Prepare and attend meetings, complete the meeting minutes right after the meeting and follow the detailed action plans to make sure all mentioned tasks completed within or before the deadline.
- Arrange the complex and detailed travel plans, itineraries and agendas.
- Support visa’s process, accommodation’s selection and booking and so on to our overseas business partners coming to Vietnam.
- Take care of important members and business partners on a regular basis like selecting appropriate gifts, sending notes and so on for the special occasions.
- Drafting the important contracts, documents and official letters when assigned.
- Manage the website, social media to ensure the company image and provide the effective PR strategy.
Job requirements
- Female: Age from 30 - 40.
- At least 5 years of experience in an equivalent position of an import-export company or Import-Export/Finance Manager position.
- Bachelor’s degree or Master’s degree with majors in Business Administration, Foreign Trade, International Business and Finance.
- Professional Knowledge: Incoterms, Import-export business, Customs and Finance.
- Fluent in English: listening, speaking, reading, and writing. Knowing Chinese is a plus.
- Proficient in Microsoft office (Outlook, Word, Excel and Power Point).
- Excellent in communication (both writing and verbal), problem solving and negotiation.
- Logic, analytical, growth and strategic mindset.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Extremely careful, dynamic, enthusiastic and high sense of responsibility
