Examinations & Administrative Support Coordinator (6-Month Contract)
Job description
Job Overview:
The Examinations Officer is tasked with the administration and management of student achievement data as well as overseeing and coordinating both internal and external examinations and assessments at the EMASI Van Phuc and Nam Long campuses.
Responsibilities and Duties:
• Maintain correspondence with Cambridge Examinations
• Maintain precise familiarity with Cambridge Examination protocols prior to entry, during examination sessions and post-examination periods (i.e. distribution of results and retention of signed certificate copies)
• Dissemination information and update staff with regard to adaptations or changes to examinations regulations and / or subject specifications, and assessments
• Form an Invigilation Team
• Prepare student / parent Invoices
• Secure external examinations
• Administer external examinations
• Be the main point of contact with regard to external examinations
• Manage the Examination Rooms
• Ensure that student entry for external examinations is punctual and follows Cambridge Examinations guidelines
• Distribute Statement of Entries to students, and checking of the same. Retention of Statement of Entries
• Confirming entry of candidates with relevant teachers
• Advertise the IGCSE Examination timetable and formulate any Appendix required due to clashes
• Be responsible for the running of IGCSE Mock Examinations in line with Cambridge Examination protocols
• Display Cambridge Examination Regulations according to requirements
• Maintain a regime of consistent reinforcement of examination regulations (in every examination)
• Process requests for re-marks, access to examination scripts and / or re-sits
• Apply required protocols for all Cambridge examinations nd other external assessments including, but notwithstanding, MAP testing, Starts / Movers / Flyers, KET, PET, Cambridge Checkpoint, AP tests and others.
Assessment Protocols
• Work with the Co-Head of Secondary and Assistant Head of Elementary to update examination-related policies
• Keep stakeholders abreast of examination timetables, requirements/changes to the academic calendar year
• Coordinate / facilitate examination timetables including and not limited to internal and external assessments, for example:
- Regular mid semester and semester end IP examinations, KET, MAP, IGCSE (including IGCSE Mocks), Checkpoint and other assessments previously mentioned
- Cambridge Testing includes/ mock tests and Checkpoint exams
• Support the Co-Head of Secondary and the Head of Elementary in ensuring that all regulations for external examinations are understood and are communicated to colleagues, parents and examination candidates
• Manage the Examination preparation process. This includes preparing examination timetables for students and staff; creating and advertising seating plans for each examination room; briefing candidates, staff and parents; receiving, checking and securely storing confidential examination materials; administering internal assessment etc.
• Manage examination days in accordance with awarding body regulations, including preparing for each examination day, starting examinations, forming an Ingiliation Team and dealing with (or delegating) response to emergencies, irregularities, and malpractice, ending the examination, collecting the examination scripts, and packing and dispatching examination scripts
• Being responsible for contingency planning in respect of student illness (both prior to and during an external examination), evacuation and other critical scenarios.
• Manage the communication of examination results including accessing results electronically and downloading results from awarding body secure sites and preparing for results to be disseminated to each student / candidate. This potentially includes distribution of hard copy results in the event of digital breakdown
Assessments
• Support the process relating to access arrangements (for example, supporting the SENCo in making applications, rooming, training invigilators, managing emergency access arrangements etc.)
• Work with the accreditation teams to support with the process of completing accreditation through the Western Academy of Schools and Colleges (WASC) including support with requested examination data.
• Support the translation of documents, announcements, guidelines.
• Liaise with a wide range of internal and external stakeholders, including students, parents, Heads of Departments, teachers, reception staff, site staff, IT staff and awarding organizations.
• Keep stakeholders abreast of examination timetables, requirements, changes of the academic calendar year. Update teachers and senior leaders with regard to any and all announcements made by Cambridge Examinations regarding provision, regulations, logistics or examination procedures.
• Form an Invigilation Team (including the School Nurse). Support with the training and managing of invigilators in respect of external examinations. This includes training new invigilators and updating existing invigilators on rules and regulation changes on an annual basis.
• Work with the MDs and Co-Heads of Secondary and the SLT to update examination-related policies
• Manage the examination entry process, including gathering information from teaching staff to ensure that students’ examination entries are made correctly and on time, making amendments/withdrawals etc.
• Deal with requests and administering post-results services
• Issue examination certificates. Whilst it is understood that dissemination may be handled by Administrative staff the issuing officer is the Examinations Officer. This involves signatures, counter-signatures, logging of dates and retention of copies. Administration staff are only involved in exchange of documents.
• And other Examination aligned tasks assigned by Line Manager(s)
Job requirements
Education:
• University degree in Education management or relevant major
• English fluency, strong communication both verbal and written
• Microsoft office literacy, especially Excel
Experience:
At least two-year-experience at similar role.
