About This Role
We are seeking a highly organized and resourceful Executive Assistant who’s fluent in both Vietnamese and business English to join our team. This role will be pivotal in managing day-to-day operations, communication, and project coordination as we launch and grow our brand.
Key Responsibilities:
1. Administrative Support:
• Manage and organize schedules, meetings, appointments, and email
communication for the executive team.
• Prepare meeting agendas, take detailed notes, and follow up on action items.
• Handle confidential information with utmost discretion.
2. Communication Management, Translation, & Localization:
• Translate and facilitate conversations and written communications between our
English-speaking staff in the US and our manufacturers and supply chain in
Vietnam.
• Join English-speaking team members in person and provide translation for
meetings with manufacturers and suppliers when we travel to Vietnam.
• Ensure that brand messaging aligns with cultural nuances in both languages in
business communications and marketing materials.
• Act as the point of contact between the executive team, partners, and vendors.
• Draft and edit emails, presentations, marketing materials, and reports as needed.
3. Project Coordination:
• Assist in planning and executing brand-development projects.
• Coordinate with manufacturers, design, production, quality control, marketing,
and logistics teams in Vietnam and the US.
• Monitor timelines and ensure tasks are completed on schedule.
4. Market Research & Vendor Liaison:
• Conduct research on market trends, suppliers, and competitors, with a focus on
the footwear industry.
• Help source materials and connect with manufacturers and suppliers in both
Vietnam and the US.
Job requirements
• Fluency in both English and Vietnamese, with excellent written and verbal communication skills in both languages. Must be able to conduct interviews in English.
• Proven experience as an executive assistant, project coordinator, or similar role.
• Strong organizational and multitasking abilities, with attention to detail.
• Proficiency in office software (Google Workspace, Microsoft Office) and project management tools (e.g., Asana, Trello).
• Ability to work independently and prioritize tasks effectively.
• Located in Ho Chi Minh City, with knowledge of the local business environment and resources.
• Previous experience with the fashion, footwear, or leather goods industry is a plus.
